2. What data do we process, and why?

2.1 Orders and Customer Account

Name, address, email address, phone number, billing and shipping information, order history, and (if applicable) VAT number, processed via WooCommerce. Legal basis: performance of the contract (purchase agreement) and, for billing purposes, a legal obligation.

2.2 Payments

Payments are processed through Mollie Payments for WooCommerce. Mollie processes the payment details (e.g., IBAN, card information) directly; HumiViniQ does not have access to the full payment details. Legal basis: performance of the agreement.

2.3 Shipping

The shipping address and contact information are shared with carriers/shipping partners: DPD (DPD Connect for WooCommerce), GLS (GLS HumiViniq Shipping), and Cargoson (Cargoson Shipping Method), as applicable to your order. Legal basis: performance of the contract.

2.4 Website Analytics and Advertising (with consent)

After you give your consent via the cookie banner (WPConsent), we use Google Tag Manager (via the GTM4WP plugin) to load tracking tools such as Google Analytics and Google Ads. Microsoft Clarity (session recordings/heatmaps, data processed by Microsoft, which may be transferred to the United States) and VWO/Wingify (A/B testing and website optimization, also a U.S.-based provider) are also activated only after you give your consent. Google for WooCommerce and Pinterest for WooCommerce are used to display products on the Google/Pinterest network. Legal basis: consent.

2.5 Email Marketing

If you sign up for this, we use MailerLite (MailerLite – WooCommerce integration) to send newsletters and purchase-related emails/recommendations. Legal basis: consent, or legitimate interest for existing customers (with an unsubscribe option in every email).

2.6 Customer Service via Chat

For the AI chat feature (Storebird AI Chat for WooCommerce), question and product data are processed to automatically answer questions and look up orders; when a conversation is transferred to a staff member (“human handoff”), your contact information is also processed. Legal basis: performance of the contract / legitimate interest (customer service).

2.7 Reviews

If you leave a review via TrustProfile, your name and rating (and any photos) will be processed and displayed on our website. Legal basis: consent.

2.8 Product Feeds

Product and (where applicable) inventory data are transmitted via CTX Feed Pro (WebAppick) to marketing channels such as Google Shopping. As a rule, this does not include customers’ personal data, only product data.

2.9 Technology and Security

For website management and security, we use Wordfence Security (security monitoring), UpdraftPlus (backups), and MainWP (centralized site management on behalf of our technical administrator). These parties may have (temporary) access to data stored on the website, solely for management and security purposes.

2.10 Multilingualism

We use WPML to translate and display the website in multiple languages (Dutch, English, British English, Flemish, French, German, Greek, Italian, Polish, Spanish). This does not, in itself, affect which personal data is processed.

3. With whom do we share your data (processors/recipients)

In addition to the parties listed above for each specific purpose, this amounts to the following categories of recipients: payment service provider (Mollie), carriers (DPD, GLS, Cargoson), hosting provider, analytics/advertising partners (Google, Microsoft, Wingify/VWO), email marketing service (MailerLite), chatbot service (Storebird), review service (TrustProfile), and IT management/security service providers (UpdraftPlus, MainWP, Wordfence). We have entered into or are in the process of entering into data processing agreements with processors who process personal data on our behalf, in accordance with Article 28 of the GDPR.

4. Transfer outside the EEA

Some of the parties listed above (including Microsoft Clarity, VWO/Wingify, and, depending on their server location, possibly other U.S. providers) may transfer data to countries outside the European Economic Area, specifically the United States. Where this occurs, we (or the relevant processor) ensure that appropriate safeguards are in place, such as the EU Model Contract Clauses or an adequacy decision by the European Commission.

5. Retention Period

We do not retain your data for longer than is necessary for the purposes for which it was collected: order and billing information is retained in accordance with the statutory retention period for accounting records (7 years in Belgium); customer account information is retained for as long as your account is active; and marketing information is retained until you withdraw your consent or unsubscribe.

6. Your Rights

You have the right to access, rectify, erase, and restrict the processing of your personal data, the right to data portability, and the right to object to the processing. For processing based on consent, you may withdraw your consent at any time without affecting the lawfulness of the processing prior to withdrawal. To exercise these rights, please contact us using the contact information provided in section 1.

7. File a Complaint

If you are not satisfied with how we handle your data, you can file a complaint with the competent supervisory authority: in Belgium, the Data Protection Authority (GBA, www.gegevensbeschermingsautoriteit.be), or in the Netherlands, the Dutch Data Protection Authority (www.autoriteitpersoonsgegevens.nl), depending on your place of residence.

8. Is providing information required?

Providing certain information (name, address, contact information, payment information) is necessary to place and fulfill an order. Without this information, we cannot process your order. Other information (e.g., for newsletters, reviews) is optional and based on your consent.

9. Automated Decision-Making

We do not make decisions based solely on automated processing (including profiling) that have legal effects on you or otherwise significantly affect you.

10. Cookies

For a detailed overview of the cookies and similar technologies we use, please refer to our Cookie Policy (EU).
